{"id":52,"date":"2018-11-05T18:41:43","date_gmt":"2018-11-05T17:41:43","guid":{"rendered":"http:\/\/pro.timphaus.de\/?p=52"},"modified":"2021-07-10T16:34:42","modified_gmt":"2021-07-10T14:34:42","slug":"request-webinar-on-demand","status":"publish","type":"post","link":"https:\/\/dynamiacs.com\/?p=52","title":{"rendered":"Request Webinar on demand"},"content":{"rendered":"\n<p>This blog\npost shows how simple it is to automate processes where a form on a website\nwill be filled by contacts (not only outside of the company).<\/p>\n\n\n\n<p>Here it\nis explained with an example for Requested access to an on-demand webinar.<\/p>\n\n\n\n<p>In this\nprocess a person who is interested to view the webinar fill out the form.<\/p>\n\n\n\n<p>After\nthis an approval starts where the sales team has to approve the access.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>If the request is rejected\n     the requester will get an email.<\/li><li>If the request is approved\n     the requester will receive the URL to the webinar.<\/li><\/ul>\n\n\n\n<p>The\nrequester is also created as a lead in the CRM.<\/p>\n\n\n\n<p>After a\ndelay of f.e. 2 days the actual owner of the lead will receive a reminder email\nto follow up the Webinar request.<\/p>\n\n\n\n<p>To build\nthis process the following Microsoft Services are involved:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Forms<\/li><li>Flow<\/li><li>Dynamics 365 for Sales<\/li><li>Office 365<\/li><\/ul>\n\n\n\n<p>Here is\nan overview of the design in Microsoft Flow.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"824\" height=\"1024\" src=\"http:\/\/pro.timphaus.de\/wp-content\/uploads\/2019\/02\/webinar_00-824x1024.png\" alt=\"\" class=\"wp-image-53\" srcset=\"https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_00-824x1024.png 824w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_00-241x300.png 241w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_00-768x954.png 768w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_00.png 1186w\" sizes=\"auto, (max-width: 824px) 100vw, 824px\" \/><\/figure>\n\n\n\n<p>Follows\nthe setup is explained. <\/p>\n\n\n\n<p><strong>Microsoft Forms<\/strong><\/p>\n\n\n\n<p>First the\nform to do the request on a website is created in Microsoft Forms.<\/p>\n\n\n\n<p>There you\ncan select different types for the form entries.<\/p>\n\n\n\n<p>The types\ncan be<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Text in single or multiple\n     lines<\/li><li>Options helps to\n     define the answers that the user can only choose from<\/li><li>Ranking helps to geed\n     feedback<\/li><li>Date can helps to get a\n     possible date for the question<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image is-resized\"><img loading=\"lazy\" decoding=\"async\" src=\"http:\/\/pro.timphaus.de\/wp-content\/uploads\/2019\/02\/webinar_01.png\" alt=\"\" class=\"wp-image-54\" width=\"235\" height=\"461\" srcset=\"https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_01.png 387w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_01-153x300.png 153w\" sizes=\"auto, (max-width: 235px) 100vw, 235px\" \/><\/figure>\n\n\n\n<p>There are\ntwo display options:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Mobile View (see above)<ul><li>is optimized to view on\n      smartphones.<\/li><\/ul><\/li><li>Desktop View<ul><li>is optimized to view in the\n      web browser.<\/li><\/ul><\/li><\/ul>\n\n\n\n<p>To give\nthe prospect or other persons access there are different options available:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Share as an email<\/li><li>Create a qr-code<\/li><li>Save an url to add on a\n     webpage<\/li><\/ul>\n\n\n\n<p>After\nfinishing the setup of the form the setup in Microsoft Flow can be done.<\/p>\n\n\n\n<p><strong>Microsoft Flow<\/strong><\/p>\n\n\n\n<p>The\ntrigger for this process is when a new response is submitted in Forms.<\/p>\n\n\n\n<p>In the\ntrigger the Form ID has to be defined.<\/p>\n\n\n\n<p>To get\nthe answers on the survey in forms the next step in flow is an action which\ngets the response details. There is an &#8220;apply to each&#8221; action\ninserted because the next steps are executed for each response. In the action\n&#8220;get response details&#8221; the same Form ID as in the trigger has to be\nselcted and in he response there must be the &#8220;response id&#8221; from the\ntrigger inserted.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"443\" src=\"http:\/\/pro.timphaus.de\/wp-content\/uploads\/2019\/02\/webinar_02.png\" alt=\"\" class=\"wp-image-55\" srcset=\"https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_02.png 650w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_02-300x204.png 300w\" sizes=\"auto, (max-width: 650px) 100vw, 650px\" \/><\/figure>\n\n\n\n<p>With\nthese response details the Approval step can be done. <\/p>\n\n\n\n<p>In the\napproval first the type has to be selected which can be a single approver or\nthe whole group approver which has be defined in the &#8220;assigned to&#8221;\nfield.<\/p>\n\n\n\n<p>The best\nthing is to setup up the title with a clear title that the assigned persons\neasy understand what kind of an approval they have to approve.<\/p>\n\n\n\n<p>The\ndetails can be filled with a lot of the response details.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"561\" src=\"http:\/\/pro.timphaus.de\/wp-content\/uploads\/2019\/02\/webinar_03-1024x561.png\" alt=\"\" class=\"wp-image-56\" srcset=\"https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_03-1024x561.png 1024w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_03-300x164.png 300w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_03-768x421.png 768w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_03.png 1304w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>After the\napproval step a condition step is included. The condition here is the response\nfrom the approval. Here an &#8220;is equal to is used to get an &#8220;true&#8221;\nif the approval response is approve.<\/p>\n\n\n\n<p>If the\nresponse of the approval is rejected flow will answer the condition with\n&#8220;false&#8221; and the go through the \u201eif no\u201c section and send a rejected\nemail to the requester.<\/p>\n\n\n\n<p>If the\nresponse of the approval is approve the flow will go through the \u201eif yes\u201c\nsection and sends the url, create the lead and send an reminder to follow up\nafter a defined time.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"563\" src=\"http:\/\/pro.timphaus.de\/wp-content\/uploads\/2019\/02\/webinar_04-1024x563.png\" alt=\"\" class=\"wp-image-57\" srcset=\"https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_04-1024x563.png 1024w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_04-300x165.png 300w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_04-768x422.png 768w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_04.png 1301w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>The only\nstep in the \u201eif no section\u201c is to send a rejected email. The email of the\n&#8220;Empf\u00e4nger&#8221; can be selected from the &#8220;get response details&#8221;\naction. In the subject and the body an answer can be entered for the requester.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"621\" height=\"326\" src=\"http:\/\/pro.timphaus.de\/wp-content\/uploads\/2019\/02\/webinar_05.png\" alt=\"\" class=\"wp-image-58\" srcset=\"https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_05.png 621w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_05-300x157.png 300w\" sizes=\"auto, (max-width: 621px) 100vw, 621px\" \/><\/figure>\n\n\n\n<p>That&#8217;s it\nfor the &#8220;if no&#8221; section. No more setup is needed.<\/p>\n\n\n\n<p>Next the\n&#8220;if yes&#8221; section has to be configured.<\/p>\n\n\n\n<p>The first\nstep in the \u201eif yes section\u201c is to create a lead in Dynamics 365 for Sales.<\/p>\n\n\n\n<p>To do\nthis the Organisation Name (Environment) and the Entity Leads has to be\nselected.<\/p>\n\n\n\n<p>In this\nstep a lot of information can be filled when the lead is created in Dynamics\n365 for Sales. There can be standard values or values from the &#8220;get\nresponse details&#8221; action.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"617\" height=\"573\" src=\"http:\/\/pro.timphaus.de\/wp-content\/uploads\/2019\/02\/webinar_06.png\" alt=\"\" class=\"wp-image-59\" srcset=\"https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_06.png 617w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_06-300x279.png 300w\" sizes=\"auto, (max-width: 617px) 100vw, 617px\" \/><\/figure>\n\n\n\n<p>After\ncreating the lead an email will be send to the requester with the URL to the\nwebinar.<\/p>\n\n\n\n<p>The\naction for this is an Office 365 action &#8220;send email&#8221;. In this step\nthe information from Dynamics 365 for Sales are used to fill the required\nfields.<\/p>\n\n\n\n<p>Here are\nalso options available f.e. to add an attachment or to set the priority of the\nemail. <\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"618\" height=\"342\" src=\"http:\/\/pro.timphaus.de\/wp-content\/uploads\/2019\/02\/webinar_07.png\" alt=\"\" class=\"wp-image-60\" srcset=\"https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_07.png 618w, https:\/\/dynamiacs.com\/wp-content\/uploads\/2019\/02\/webinar_07-300x166.png 300w\" sizes=\"auto, (max-width: 618px) 100vw, 618px\" \/><\/figure>\n\n\n\n<p>Now the\nrequester can view the requested webdemo whenever he has time for it.<\/p>\n\n\n\n<p>After a\ndelay of a defined time fence (here 2 minutes) a reminder email will be sent to\nthe actual owner of the lead.<\/p>\n\n\n\n<p>To define\nthe delay the action Delay from the service called &#8220;Schedule&#8221; is\nselected. In this action there are options to set the delay to minutes, hours,\nday, weeks.<\/p>\n\n\n\n<p>To get\nthe actual owner of the Lead the &#8220;Get Record&#8221; action from the service\nDynamics 365 is used. Here the same settings for Organization and Entity has to\nbe selected as in the &#8220;Create Lead&#8221; section. The item identifier is\nthe field Lead from the Dynamics 365 Entity. In this step there is no email\nadress for the owner. For this we have to add another &#8220;Get Records&#8221;\naction. In this we select the same organization but the Entity to to get the\nUser details. For this we select the Office 365 &#8211; Send\nEmail action. This email will be sent to the email address of the owner. <\/p>\n\n\n\n<p>In the\nsubject and the body some more details can be filled to help the owner to\neasily find out what he has to do.
